GoHighLevel setup and management, by people who actually run it

We have built, broken, rebuilt and managed HighLevel accounts for years, including the ones that run our own education business. Project based if you want it set up right once. Full monthly management if you would rather never log in.

Most HighLevel accounts stall in the same place

Somebody signs up, usually after seeing what the platform can do. They import contacts. They build one funnel. They start a workflow, get to the branch logic, and close the tab.

Six months later they are still paying the monthly fee, still sending emails from the old tool, and quietly avoiding the login. The platform did not fail. It is just that HighLevel is not a product you switch on, it is a system you architect, and nobody tells you that when you sign up.

The accounts that work have a few boring things in common. Tags follow a naming convention somebody wrote down. Pipelines match how the business actually sells rather than how the demo video sold. Automations do one job each instead of one workflow trying to do nine. And somebody owns it.

What we build

Account architecture

This is the part that gets skipped and the part that decides whether the account is still usable in two years. Custom fields, a tag taxonomy with a documented convention, pipeline stages that mirror your real sales process, user permissions, and a naming system for funnels, workflows and campaigns so that the next person can find anything without guessing.

Pipelines and CRM

Opportunity stages that match how you actually sell, with the automation that moves deals between them. Lead source tracking that survives contact with reality, so you can finally answer where your business comes from.

Funnels and landing pages

Built on your brand, not dragged out of a stock template. Lead magnets, booking pages, event registration, application forms, sales pages, upsells and thank-you pages, all wired into the pipeline so a submission becomes an opportunity rather than a row in a spreadsheet.

Automation and follow up

The workflows that make the platform worth paying for:

  • Speed-to-lead: new enquiries get an instant response while they are still on their phone
  • Nurture sequences over email and SMS that sound like a person wrote them
  • Appointment reminders and no-show recovery
  • Quote follow up, so nobody falls off after a proposal
  • Review requests that fire after a completed job and push people to your Google Business Profile
  • Database reactivation campaigns for the contacts already sitting in your list
  • Internal notifications so your team knows a hot lead landed

Calendars and booking

Connected calendars, round-robin for teams, buffers, availability rules, confirmations and reminders. Booking that works without a back-and-forth email thread.

Reporting

Dashboards that answer the questions you actually ask: how many leads, from where, what they cost, what converted, and how long it took.

Migration, done in the right order

Moving off Mailchimp, ActiveCampaign, Keap, HubSpot, Kajabi or ClickFunnels is straightforward if you do it in the right sequence and painful if you do not.

  1. Export and audit the existing data before touching anything new
  2. Clean it: duplicates, dead addresses, junk fields, unsubscribes that must be honoured
  3. Map old fields and tags to the new structure, and write the map down
  4. Rebuild the automations in the new system rather than porting them one to one, because most of them were compromises around the old tool's limits
  5. Warm up sending and test on a small segment
  6. Cut over, monitor closely for two weeks, then decommission the old tool

The step people skip is the cleanup, and it is the one that determines whether your deliverability survives the move.

Two ways to work with us

Project based

We build the account, migrate your data, document the structure and train your team. You own it and run it. Fixed fee, agreed scope, in writing before we start. Right for businesses with somebody internal who will actually maintain the system.

Full monthly management

We keep the keys. We run campaigns, monitor automations, fix breakages, build new funnels as the business needs them, maintain the data, and report monthly. Right for owners who bought HighLevel for the outcome and have no interest in becoming a platform administrator.

Plenty of clients start with a project build and move to management once they see how much there is to keep running.

Why us and not a cheaper offshore build

You can get a HighLevel account configured cheaply. What you usually get is a snapshot loaded in and renamed, with generic automations that were not written for how you sell, and no documentation.

We have run these systems in our own businesses, not just for clients. We built and operated the HighLevel infrastructure behind an education business with live events, programs and ongoing campaigns, which means we have personally hit the limits, the deliverability problems and the automation conflicts that only show up at volume.

We are also in Edmonton, in your timezone, and you can get us on a call.

Who this is for

Service businesses with a pipeline worth tracking: trades, clinics, professional services, real estate, fitness and wellness. Coaching and education businesses running events, programs and launches. Agencies and consultants reselling HighLevel who need somebody fluent at the sub-account and snapshot level.

If you have fewer than a hundred contacts and no repeatable sales process yet, you probably do not need this. We will tell you that rather than selling you a build.

Common questions

What is GoHighLevel?

GoHighLevel, usually shortened to GHL or just HighLevel, is an all-in-one platform that combines a CRM, sales pipelines, funnels and landing pages, email and SMS marketing, calendars and booking, review requests, forms and surveys, and automation workflows in a single system.

Its appeal is consolidation. Businesses running a website, a separate CRM, a separate email tool, a separate booking system and a separate review tool can usually replace most of that with one login. Its problem is that it does so much that a half-configured account is worse than the five tools it replaced.

Do I need an agency to set up GoHighLevel?

Not strictly. You can set it up yourself, and plenty of people do. The question is what your time is worth and how long you are willing to spend on it.

A full account build is realistically forty to eighty hours of work for somebody who already knows the platform, and considerably more for somebody learning it while building. What most owners actually do is set up 30 percent of it, hit something confusing, stop, and keep paying the monthly fee for a system they are not using.

I already have a HighLevel account I never finished setting up. Can you fix it?

Yes, and that is the single most common call we get. We audit what is there, work out what is salvageable, and either finish it properly or rebuild the parts that were set up in a way that will cause problems later.

Bad naming conventions, tags nobody can interpret, overlapping automations that fire twice, and pipelines that do not match how you actually sell are all fixable. It is usually faster than starting over.

What is the difference between project based and monthly management?

Project based means we build it, hand it over, train your team and leave. You own and run it. Best if you have somebody internally who will actually maintain it.

Monthly management means we keep the keys. We run the campaigns, monitor the automations, fix what breaks, build new funnels as you need them, and report on what is happening. Best if nobody on your team wants to own the platform.

Can you migrate us off our current system without losing anything?

Yes. We have migrated clients off Mailchimp, ActiveCampaign, Keap, HubSpot, Kajabi, ClickFunnels and a few homemade spreadsheet systems.

The order matters: export and clean the data first, map the fields, rebuild the automations, test with a small segment, then cut over. Rushing the cleanup step is how people lose their list history.

Do you resell GoHighLevel licences?

We can work either way. If you already have your own HighLevel account, we build inside it and you keep the licence in your name. If you would rather not deal with the platform relationship at all, we can host you inside our agency account.

We will lay out both options including what happens if you ever want to leave, because you should know that before you start, not after.

How much does GoHighLevel setup cost?

It depends almost entirely on how much is being built: number of pipelines, how many funnels, how complex the automation logic is, and whether data is being migrated in.

We quote after looking at your account and understanding how you sell. Project builds are a fixed fee. Monthly management is a monthly fee. Both are quoted in writing before anything starts.

What kinds of businesses do you build HighLevel for?

Service businesses with a sales pipeline worth tracking: trades, clinics, professional services, real estate, fitness, and coaching or education businesses running events and programs.

We also build for agencies and consultants who resell HighLevel to their own clients and need somebody who knows the platform at the sub-account and snapshot level.

Kat did a great job on my website, including a few tricky customizations. It was great to work with someone clear who has the business in hand and doesn’t make you proof through every single little decision.
